Iterative Searching in Connexion for Upgrading Brief Records

Notes for presentation at OCLC Connexion Users' Group Meeting, ALA Midwinter Meeting 2007

This presentation describes an iterative process of Connexion batch searching in WorldCat to upgrade brief records in an Innovative Interfaces catalog at Sonoma State University. Brief records are primarily serial records created through the Innovative Electronic Resources Management module. Through iterative searching, followed by processing in MarcEdit, brief records can be overlaid by fuller records

Brief records are created during holdings data load if:

    • No records in database matching titles in holdings data
    • Holdings data doesn't match records in database because of ISSN, title variations (matches made in that order)

ERM module brought into full use at SSU in late spring, 2006 after a gap of nearly 1.5 years since the previous Innovative holdings update product was functional

  • New databases added
  • Changes in existing databases
  • Many titles in Factiva and LexisNexis never added to catalog
  • New process creates new brief bib records for all non-matches

Result: 1000s of new, brief records!

Connexion batch searching offers an efficient way to locate fuller records

  • Preferred search: ISSN
  • Secondary search: Title


  • Typically working with 400-1200 brief records at a time

Problems

  • ISSN search locates data in any 022 subfield
  • Multiple records
  • Brief records in WorldCat (primarily NLGGC [GGC Group Batchload] from OCLC PICA) = false positives
  • Records in WorldCat may not include the ISSN reported in holdings data (different ISSN or absent in record)
  • Many titles lack ISSN

Workflow

  1. Identify brief bibs in Millennium
    • Sort by title
  2. Output OCLC numbers (filename-1.txt) to PC (or shared drive)
  3. Create a local (or shared) file in Connexion (filename-1.dba and import OCLC # text file
    • Default index: ISSN
    • Apply default WorldCat qualifiers: /DLC
  4. Set max. # of records to download to 1 (Tools > Options > Batch)
  5. Process batch
  6. View report
    • Depending on size of file searched and number of records NOT found or multiple records found, you may wish to
      • Copy records not found to a text file
      • Copy records with multiple hits to a text file
